The type of personal information we collect

SimEPR Ltd is a UK-based company. We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (name, email address, job title and affiliated organisation) from faculty based in Healthcare Education Institutions (HEIs).

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • When you contact us via email or via our contact form on our website (www.simepr.com).
  • When you provide this information to register and use our SimEPR web app (app.simepr.com).

We may share this information with our partner organisations, such as:

  • Sim & Skills Ltd, a UK-based company
  • Mediquip Pty Ltd, an Australian-based company

We share your email address and affiliated organisation with third-party service providers who perform services for us or on our behalf and require access to such information to do that work. The third parties we may share personal information with are as follows:

  • Cloud-hosted database services for SimEPR web app: Cloud Firestore, Firebase Hosting and Cloud Storage for Firebase
  • User Account Registration and Authentication for logging into SimEPR web app: Firebase Authentication

The lawful basis of processing your data

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing your data are:

  • Your consent. You are able to remove your consent at any time. You can do this by contacting support@simepr.com
  • However, consent to use and process this information is required in order to use the SimEPR web-app.

How we store your personal information

Your information is securely stored.

We will only keep your personal information for as long it is necessary, unless a longer retention period is required by law (such as tax, accounting, and other legal requirements).

When there is no ongoing legitimate business need to hold your information, such as when you are no longer licenced to use the SimEPR web-app, your personal information (name, email, job title and affiliated organisation) will be held for no longer than 2 years. We will then dispose of your information by deleting it from our database.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Student and healthcare staff data relating to the SimEPR app

The SimEPR app is designed for HEIs that provide educational training for healthcare staff and students.

Only faculty of HEIs might be required to provide their email to log in and use SimEPR, however there are options to use generic/anonymised email logins. No other information is required from faculty.

Simulation participants (students/trainees) do not have individual logins to use SimEPR. Depending on the product being used, either the simulated scenario is pre-configured and ready for use, or a generic/temporary login is auto-generated for participants to log in. During simulation, participants enter a name or email so that faculty can identify and monitor activity from each student. This data is only stored temporarily for the purpose and duration of the training session.

No participant data is permanently stored on the app or server, as the activity data is permanently deleted when a teaching session has ended. There is the option for faculty to download a PDF document with participant activity prior to the data being wiped.
